What Is a Webinar Funnel? Stages, Emails and Common Mistakes

A webinar funnel is a sequence that moves people from an ad, post or email to a registration page, then to a live or on-demand presentation, then to a follow-up offer. The webinar acts as the persuasion step between interest and purchase.

The stages are: traffic to a registration page, registration, reminder emails, attendance, a presentation that ends with an offer, and follow-up emails for people who attended and for those who did not. Each stage has its own drop-off, so the useful measurements are registration rate, show-up rate, offer conversion and cost per registrant.

Webinar funnels suit products that need explaining or trust before purchase: courses, higher-priced software, coaching and agencies. They are less suitable for impulse-priced products. The costs are real: you need a topic people will register for, a presentation that teaches before it sells, and a reminder and follow-up email sequence (see what-is-an-email-sequence).

A common mistake is judging the funnel only on registrations. Plenty of people register and never attend, and plenty of attendees never buy, so cost per registrant can look fine while cost per customer does not (see what-is-cac). Evergreen, recorded versions reduce your workload but lose the live Q&A that often drives purchase decisions.

Why it matters

Infinall AI turns a product URL into competitor research, strategy, ad copy and creative that land in an Approval Queue for you to review before export. For a webinar funnel it can help at the top: drafting registration-focused ad copy and image or carousel creative from your webinar or offer page. It does not host webinars, build registration pages, send reminder emails or track attendance, and it does not buy media. You review and approve drafts in the Approval Queue, then export them to run in your own tools.

Frequently asked questions

What is a good webinar show-up rate?

It varies widely by audience, topic and how warm the registrants are, so a single number can mislead. Track your own show-up rate over several webinars and test the levers you control: reminder timing, a clear start time and a replay offer. Cold paid-traffic registrants generally attend less than people from your own email list.

Should I run a live or an evergreen webinar?

Live webinars allow real questions and urgency, which can help conversion, but they cost you time on every run. Evergreen webinars play a recording on a schedule, which saves effort but removes live interaction. Many teams start live to learn what resonates, then convert the best-performing session to evergreen.
