How to Schedule Instagram Posts: Phone, Desktop and Laptop
To schedule Instagram posts, finish the image or video first, write a caption of up to 2200 characters, then pick a date and time in a scheduling tool that publishes for you. In Infinall AI you do this in the Social Hub calendar: click New post, choose Instagram, add media and a caption, set the date and click Schedule for. Scheduling is free on every plan.

Scheduling an Instagram post means doing all the work now and letting a tool send it later. The steps are the same on a phone, a desktop or a laptop: get the media to a size Instagram accepts, write the caption, pick a time your audience is around, and hand the post to something that will publish it or remind you. This guide walks through those steps in a tool-neutral way, then shows how to do each one in the Infinall AI calendar, which runs in a browser on any computer and on a phone.

How to Schedule Instagram Posts: Phone, Desktop and Laptop
Finish the image or video first
Instagram needs at least one image or video in a feed post, so the media comes before anything else. For a feed photo, keep the shape between 1.91:1 and 3:4; at 1080 pixels wide that means a height between 566 and 1440 pixels. A free resizer saves you from Instagram cropping the picture for you.
Write the caption and put the hook first
Instagram captions can run to 2200 characters, but people only see the opening line before the "more" link. Put the offer or the question in the first sentence, then the detail, then any hashtags. Count the characters before you schedule so the post is not rejected at send time.
Pick a time from your own data
There is no single best hour for every account. Look at when your past posts got the most engagement and when your direct messages arrive, then schedule into those windows. Change one thing at a time so you can tell what worked.
Choose how the post will go out
You have two options: a tool connected to your Instagram account that publishes by itself, or a reminder that tells you to post by hand. Instagram's own app also lets some accounts schedule from the phone, so check Instagram's help pages for the current rules on your account. On a desktop or laptop, a browser-based scheduler is usually the easier route.
Set the date, time and time zone
Pick the date and time in the time zone of your audience, not just your own. If you sell in both India and the US, schedule separate posts for each audience. Double check the AM and PM setting before you confirm.
Schedule, then check it went out
Confirm the post and look at it again after its time. Connections to Instagram can expire, so a scheduled post can fail. A good tool tells you which posts failed and why, so you can fix the caption, the media or the connection and send it again.
How to schedule Instagram posts in Infinall AI
Open Distribution, then Calendar, and click New post.
- In Where, pick Instagram. The button shows Posts by itself if your account is connected, or We remind you if it is not.
- In Caption, write the text. If you also post to Facebook or LinkedIn, switch Write once for all off to write a different caption for each platform.
- In Image or video, click Add image or video, then Choose files, then Add it. An Instagram post holds up to 10 images or videos, and you can mix them. Use Move left and Move right to change the order; the first item is the cover.
- Open More options to add a first comment of up to 2200 characters, posted right after the post.
- In When, pick Date and time. Times use the brand's time zone, and a scheduled time must be at least 30 seconds ahead.
- Click Schedule for (your date).
If the button is greyed out, the reason shows just above it, for example a caption that is too long. You can also make the image or motion video in Infinall first and add it to the calendar from its card, which does not use credits.
On iPhone, desktop or laptop
Infinall AI runs in the browser, so scheduling on a desktop or laptop works the same way as above. On a phone, including an iPhone, the calendar opens in List and Board views; Month and Week views are not available on a phone. The composer is the same, with the preview shown under the form instead of on the right.
If you would rather stay inside Instagram on your phone, the Instagram app has its own scheduling option for eligible accounts. It costs nothing and needs no other account, which makes it the simpler choice when you post to Instagram only and make your media elsewhere.
Free vs Pro: publishing by itself or a reminder
The calendar is open on the Free and Pro plans, and planning, scheduling, publishing and reminders never use credits. The difference is the Instagram connection. Connecting a social account is Pro only. Pro includes 2 free connections, shared by social and ad accounts, and each extra account costs 300 credits a month, with the price shown before you confirm.
Without a connected account you still plan and schedule posts, and Infinall sends you a reminder at the time so you can post by hand. Turn on reminders in More to get a browser pop up. Free gives 1,000 credits every month with no card. Pro is $10 for the first month, then $30 a month or $299 a year (India: Rs 999 first month, then Rs 2,899 a month or Rs 33,999 a year).
Common mistakes and how to fix them
- Scheduling with no media. Instagram cannot publish a text-only post, so the composer blocks it. Add an image or video, or click Save draft for now.
- A file that is too big. The upload window takes files up to 25 MB each, so export long videos at a smaller size.
- A time that has passed. Pick a later time, or use Publish now on a saved post.
- A post that failed. Infinall tries a failed send again up to 3 times before it shows as Failed. Click Needs attention, then Fix, read the reason on the card, fix it (often by reconnecting the account) and click Retry failed.
- Guessing the best time. The Best time to post chart in Analytics groups your engagement into three hour blocks over a range of 7 days up to a year, once you have a connected account with some history.
