How to Send a WhatsApp Broadcast: Steps, Tips and Mistakes

To send a WhatsApp broadcast, build a list of people who agreed to hear from you, write one short message with a single clear action, send it to yourself first, then send it to the list and answer replies one by one. In Infinall AI, open Distribution, then Account, then Broadcasts, create a draft for your connected WhatsApp account and choose Send now or Schedule. Sending a broadcast uses no credits.

A WhatsApp broadcast is one message sent to many people at once, where each person gets it as a private chat from you, not as a group post. Shops, clinics, coaches and agencies use broadcasts for offers, new stock, event invites, reminders and price alerts. Done well, it feels like a personal note. Done badly, it feels like spam, and people mute or block you. The steps below work whichever tool you send from: the WhatsApp app, the WhatsApp Business app or a social media tool. After them you will see how to send a WhatsApp broadcast from Infinall AI, which also handles the replies in the same place as your other messages.

How to Send a WhatsApp Broadcast: Steps, Tips and Mistakes

  1. Decide what the broadcast is for

Write down the one thing you want people to do after reading, such as book a slot, visit the shop or reply with a size. One message should carry one goal. If you have three pieces of news, send the most important one now and save the rest.

  2. Message only people who agreed to hear from you

Use customers and leads who gave you their number and asked for updates, for example at checkout, on a form or in a chat. Do not add numbers bought from a list or copied from a group. People who did not expect your message are the ones most likely to report or block you.

  3. Build and name your list

Group people by what they care about, such as new customers, repeat buyers or leads from one event, so each list gets a message that fits. Give each list a clear name so you pick the right one later. The WhatsApp app and the WhatsApp Business app both have a broadcast option, and menu names change between versions and phones, so check the WhatsApp Help Center for where it sits on your app today.

  4. Write a short, personal message

Open with who you are and why they are hearing from you, then the news, then one action. Keep it short enough to read on a lock screen. Add a link only if it helps, and tag it so you can see later how many people clicked from the broadcast.

  5. Test it on yourself

Send the message to your own number or a colleague first. Check that the link opens, the spelling is right and the message reads well on a small phone screen. A broadcast cannot be pulled back once it is delivered, so this is your last chance to fix it.

  6. Send at a sensible time

Send when your customers are awake and not at work rush hour, in their own time zone. Avoid late nights and early mornings. If your list is spread across countries, split it into separate lists and send each one at a local time.

  7. Answer every reply

Each reply arrives as a private chat, so treat it like a customer conversation. Answer quickly, because WhatsApp limits how long a business tool can reply after the customer's last message. Remove anyone who asks to stop, and do not message them again.

How to send a WhatsApp broadcast in Infinall AI

Infinall AI sends broadcasts from the Social Hub, so your offers, posts and messages for one brand live in one place.

  1. Pick the brand in the brand switcher at the top of the left menu.
  2. Open Distribution, then Account, then Broadcasts, and choose New broadcast.
  3. Fill in Campaign name, choose WhatsApp as the Platform and pick the Connected account.
  4. Write your text in Message, up to 3000 characters.
  5. Choose Create broadcast (draft). Nothing is sent yet.
  6. Open the broadcast from the list and choose Send now, or Schedule to send it later.

To stop a scheduled broadcast, open it and choose Cancel. Replies arrive in Engage, then Messages, where you answer them like any other chat. If you want a short series of messages instead of one, switch to Sequences: a sequence has up to 12 steps with a delay between each, and it can stop by itself when the contact replies.

Common mistakes

  • Messaging people who never asked to hear from you. It leads to blocks and reports, and it hurts every message you send after.
  • Sending the same broadcast too often. Save broadcasts for news that matters to the reader.
  • Long messages with several links. One message, one action.
  • No plan for replies. A broadcast starts many private chats at once, so block time to answer them.
  • Skipping the test. Typos and broken links go to everyone on the list.
  • Expecting to choose single contacts in Infinall's Broadcasts tab. A broadcast there goes to the audience of the connected account you pick. To message hand picked people, use a sequence and enroll them one at a time.

Free vs Pro: can you send a WhatsApp broadcast for free?

Sending from the WhatsApp app or the WhatsApp Business app on your own phone is the simplest option for a small list, and it is the better choice if you only send now and then and do not need a shared inbox. WhatsApp sets its own rules on broadcasts, and they can differ by country and change over time, so check the WhatsApp Help Center before you plan a large send.

In Infinall AI, sending a broadcast never uses credits, on Free or Pro. What you need is a connected WhatsApp account, and connecting a new account is a Pro feature. Pro costs $10 for the first month, then $30 a month or $299 a year, gives 3,000 credits a month and includes 2 free account connections. Each account after that uses 300 credits a month. The Free plan gives 1,000 credits every month with no card, which you can use to make the images and copy for your offer, but it cannot connect a new account.

When to use Infinall AI and when the WhatsApp app is enough

Use the WhatsApp app when you are one person sending to a few customers and you answer every chat from your phone. Use Infinall AI when you also post on Instagram, Facebook or LinkedIn for the same brand and want the broadcast, the post calendar and the replies in one place, or when a team shares the work. The WhatsApp app is better if you want to pick contacts one by one for a single broadcast: in Infinall's Broadcasts tab a broadcast goes to the audience of the connected account you choose, and the message box holds text only, so keep images for your posts.

Frequently asked questions

Can I send a WhatsApp broadcast message for free?
