How to Define Your Brand Voice: 7 Steps With Examples

To define your brand voice, gather what you already publish, pick 3 or 4 traits that describe how you sound, and write one line on what each trait means, with words to use and avoid. Add a before and after rewrite, then set how your tone shifts by channel. In Infinall AI you can save the result in your Brand Brain for free.

Your brand voice is the personality in your words: the same company should sound recognisable in an ad, a caption, an email and a support reply. Tone is how that voice adjusts to the moment, warmer in a thank you note and more careful in an apology. Founders define a voice so freelancers and agencies stop guessing. Marketers define it so ads, posts and emails read like one brand. The steps below work with nothing more than a shared document. After them you will see how to save your voice in Infinall AI so every tool that writes for you uses it.

How to Define Your Brand Voice: 7 Steps With Examples

  1. Collect what you already write

Pull together your homepage, a few social posts, recent ads, emails and some support replies. Highlight the lines that sound most like you and the ones that sound like anyone. This is how to identify your brand voice: it usually already exists in your best writing, it just has not been written down.

  2. Listen to your customers

Read reviews, sales call notes, support tickets and comments, and copy the exact words customers use for their problem and for your product. A voice that echoes the customer's language feels familiar instead of salesy. Note anything they find confusing, such as jargon you use and they do not.

  3. Pick 3 or 4 voice traits

Choose a few adjectives that describe how you want to sound, such as clear, warm and confident. For each trait, write one line on what it means in practice and one line on what it does not mean, for example 'confident, not arrogant'. The 'not' line is what stops two writers from reading the same word differently.

  4. Write words to use and words to avoid

List the phrases you always use, like your product names and how you address the reader, and the ones you never use, like hype words or slang that does not fit. Add simple rules on spelling, contractions, emoji and exclamation marks. Keep the list short enough that people actually read it.

  5. Show before and after rewrites

Take two or three real sentences and rewrite them in your voice, showing the original next to the new version. One good rewrite teaches more than a page of adjectives. Include one example for a sales line and one for a support or apology line.

  6. Map your tone by channel and situation

Your voice stays the same, but your tone moves. Write how you sound on social, in ads, in emails and in support, and what changes when news is good or bad. A small table, like the one below, is enough.

  7. Save it in one place and review it

Put the traits, word lists, rewrites and tone table in one shared document or tool, with a date, and give every writer and agency the same copy. Check new work against it for a few weeks and fix rules nobody follows. Review it when your products, audience or website change.

How to define your brand voice in Infinall AI

In Infinall AI your voice lives in your Brand Brain, a saved profile of your logo, colours, fonts, voice, products, pricing, customers and competitors. Add a brand by pasting your website address: Infinall AI reads up to 20 pages, up to 2 levels deep, and asks only about what it could not find. What it saves from your site is a useful starting point for step 1.

Then open the voice section and edit it by hand with the traits, word lists and examples from the steps above. Save the section and confirm to lock in a new version. Editing a brand uses no credits and works on Free and Pro, but you need an Editor role or higher in the workspace; a Viewer can look but not change it.

Once the brand is confirmed, pick it with the brand chip in Image, Video, Motion, Audio or Chat, and Infinall AI uses your voice and claims in what it makes, so you do not describe your voice in every prompt. When your website changes, refresh the brand and choose, field by field, whether to keep your current value or take the new one.

How to describe your tone of voice so others can use it

  • Use traits with a 'not' line: 'warm, not gushing' is clearer than 'warm'.
  • Give rules people can check, such as 'short sentences', 'no exclamation marks in ads' or 'say you, not users'.
  • Show examples for real situations: a caption, a headline, a support reply.
  • Keep it to one page. A long voice guide gets skipped.
  • If you already have a longer brand guide, in Infinall Chat you can add it to a chat project as a PDF, DOCX, TXT or MD file, so every chat inside that project uses it.

Common mistakes when defining a brand voice

  • Only adjectives, no examples, so every writer reads them differently.
  • Picking traits that describe who you want to be instead of how your best writing already sounds.
  • Copying a famous brand's voice that does not fit your customers.
  • Treating voice and tone as the same thing, so a support apology sounds as jokey as a social post.
  • Writing the guide once and never checking new work against it.

Free vs Pro

Brand Brain is on both plans. Adding, editing and confirming a brand, and picking it with the brand chip, never use credits. The tool you write or make with charges its normal price and shows it before you confirm, except chat, where Auto replies are free. The Free plan gives 1,000 credits every month with no card. Pro is $10 for the first month, then $30 a month or $299 a year (India: Rs 999 first month, then Rs 2,899 a month or Rs 33,999 a year), with 3,000 credits a month and video.

Use 3 or 4 adjectives, each with a 'not' line, such as 'clear, not technical' and 'friendly, not silly', and add one before and after rewrite.

Does defining my brand voice in Infinall AI cost credits?

No. Adding a brand from your website, editing its sections and confirming a version are free on both the Free and Pro plans.

Will Infinall AI use my voice automatically?
